One login for your whole business: how connected apps can replace 8+ separate tools for Indian SMEs and construction firms

Most growing Indian firms run accounts in one tool, tenders in a spreadsheet, site reports on WhatsApp, attendance on a register and leads in someone's phone. This guide shows what changes when those jobs sit in connected apps behind one sign-in.

In short
  • Khanal Group makes eleven apps for Indian companies: accounts and GST, company secretarial, SME IPO, email signatures, tenders, construction projects, site surveys, CRM, HR, dispatch and connected storage.
  • Every app signs in with one Khanal ID. Office staff must set up two-step verification before any app opens; site and field staff can sign in with a PIN on their own phone.
  • The apps pass work to each other, and by default the receiving app holds it for a person to review. In K-Finance an owner can choose to let records already approved in the source app post on arrival.
  • App records stay on our server in India; documents stay in your own Google Drive or OneDrive.

The eight-tool problem

Talk to the owner of a mid-sized contractor or trading firm in India and you usually hear the same list. Accounts are in Tally or another package. GST working is in Excel. Tenders are tracked in a shared sheet and a calendar. Site progress arrives as photos on WhatsApp. Attendance is on a register or a biometric box. Leads live in the sales team's phones. Dispatches are tracked from the transporter's LR copies. Email signatures are whatever each person typed.

Each of those tools is fine on its own. The trouble is the gaps between them. The same customer is typed into four places. A contractor's bill is checked on site, then keyed again by accounts. The tender that was won has to be set up again as a project. The month's attendance is copied into payroll by hand. Every copy is a chance for a mistake, and every tool is one more login to manage when someone joins or leaves.

What each app does

Each app has its own page and its own guide on this site. In one line each:

How the apps connect

How work moves between the Khanal appsK-CRM sends a site survey request to K-Survey and a won deal to K-Projects. K-Survey sends an approved BOQ to K-Projects. K-Tender sends a won contract to K-Projects. K-Projects, K-Logistics and K-HR send records to K-Finance's review queue. Khanal ID provides one sign-in, one company and one directory for all. Each arrow is a link an admin switches on. The receiving app shows what arrived for review before anything is created or posted.

The links follow the life of a job in a construction or project business:

  1. Enquiry to survey. A salesperson presses "Request site survey" on a K-CRM lead or deal. The survey team checks the details in K-Survey and confirms, and K-CRM shows the survey's status.
  2. Survey to project. An approved BOQ from K-Survey goes to K-Projects as a new project or into an existing one, with the site facts and observations in its notes.
  3. Tender to project. A contract won in K-Tender goes to K-Projects with its BOQ and milestones. RA abstract quantities from K-Projects can come back for the client RA bill in K-Tender.
  4. Deal to project. A won deal in K-CRM can start its project in K-Projects.
  5. Site to books. Approved contractor bills, goods received, site expenses and paid payment-sheet lines from K-Projects, and invoices, bills and payments from K-Logistics, arrive in K-Finance every 15 minutes and wait in its review queue.
  6. Attendance to payroll. K-HR sends the month's paid days, loss-of-pay days, leave and overtime hours, new employees and exits to K-Finance payroll for review.

Some links are still being built and are marked "coming" on the product pages, such as accepted K-CRM quotations becoming K-Finance invoices. We list those as coming, not as done.

Why there is a review step instead of silent sync

Many integrations copy data across in the background. That is fast until a wrong entry on site lands in the books and nobody notices until the GST return. In the Khanal apps the receiving side shows what arrived and, by default, a person accepts it. K-Finance also lets an owner switch on automatic posting for a link; even then, only records approved by a checker in the source app post on arrival. It adds a minute of work. It also means your accountant, not a script, decides what goes into the ledger.

One Khanal ID, two kinds of login

Every app signs in through Khanal ID. A company is created once and people are invited once; every app picks up the company and its members. When someone leaves and is removed in Khanal ID, they lose access to the apps too.

  • Office login. E-mail, password and an authenticator code. Two-step verification must be set up before any app opens. There is no way to skip it.
  • Field login. Site supervisors, surveyors and workers often have no work e-mail. An admin creates a field login in K-HR, K-Projects, K-Survey or Khanal ID. The worker sets up their own phone once and then signs in with an organisation code, employee code and a 6-digit PIN. Field logins get field roles only, never admin.

Khanal ID also keeps one directory of customers, vendors and contractors per company (names, PAN, GSTIN per branch, MSME details), and an owner dashboard with a few figures from each app, such as bids closing in the next 7 days, late shipments and overdue receivables, each linking into the app. Each person sees only the figures their role allows.

Built for site work

Construction and field businesses cannot assume a good signal. Three apps work offline where it matters:

  • K-Projects: the day's DPR, with photos, can be filled without a connection and is sent when the signal is back, never twice.
  • K-HR: a check-in pressed with no signal is kept on the phone with the time it was pressed and sent later (up to 7 days old).
  • K-Survey: checklist answers, measurements, observations and photos saved on site are sent when the connection returns.

On phones the apps are added to the home screen from the browser menu, like an app. Location is read only when a person presses a button, and only with consent; nothing is tracked in between.

Where your data lives

App records are kept in databases on our server in India. Documents, photos and drawings go to your organisation's own Google Drive or OneDrive through connected storage, in one numbered folder tree (01 - K-Finance, 05 - K-Tender, 06 - K-Projects and so on). With Google Drive, Khanal Group can open only the files it created or that you pick; with OneDrive, only its own app folder. K-MailSign is the exception: logos and photos used in signatures sit on our server because the people you email must be able to load them. The security page sets this out app by app, with backups and controls.

On-server AI, off by default

Five apps (K-Projects, K-CRM, K-Logistics, K-Survey and K-Tender) can write short AI drafts: a DPR summary, a follow-up email to edit, a shipment summary, a tender checklist. The model (Qwen2.5-1.5B-Instruct, open source) runs on our own server in India. Record text is not sent to any outside AI company and is not used for training. AI is off for every organisation until its admin switches it on, and every draft is labelled "AI draft — check before use". Figures, dates and names in a draft come from your records, not from the model. Details: how on-server AI handles your data.

Bundles

You can start with one app. When you use several, five bundles each keep one pool of seats, so a person seated in one app of the bundle is seated in all of them:

  • CS Firm: K-Secretarial, K-Finance, K-MailSign licences and connected storage.
  • Contractor: K-Tender, K-Finance, K-MailSign licences and connected storage.
  • Construction suite: K-Tender, K-Survey, K-Projects, K-Logistics, K-Finance, K-MailSign licences and connected storage.
  • Business suite: K-Finance, K-CRM, K-HR, K-MailSign licences and connected storage.
  • Khanal One: K-Tender, K-Secretarial, K-Finance, K-Projects, K-Survey, K-Logistics, K-HR, K-CRM, K-MailSign licences, one K-IPO chapter check and connected storage.

Every feature of an app is included in its plan. Nothing is sold on top and nothing is charged per use; the only allowances are GST and MCA look-ups, which an outside provider charges us for. Prices and what each plan holds are on the pricing page.

What the apps do not do

Honest limits help you decide:

  • No app files returns or bids for you. GST returns, MCA forms and tender bids are filed on the government portals with your own DSC.
  • K-Logistics does not make e-way bills, track trucks by GPS or send SMS or WhatsApp messages.
  • K-CRM opens WhatsApp chats by link but is not connected to the WhatsApp Business API.
  • K-MailSign manages email signatures; it is not a tool for signing contracts electronically.
  • Most apps are in beta and change often. Global suites have far larger integration catalogues than we do.

For a fuller side-by-side, read connected suite vs separate tools. To count what your current tools really cost, use the framework in the real cost of separate software.

How to start

  1. Pick the one job that hurts most today: GST working, tenders, site reports, attendance or leads.
  2. Open that app with a Khanal ID and try it on real data during the trial.
  3. Connect your Google Drive or OneDrive once, so documents land in your own drive.
  4. Add the next app only when the first is in daily use, and switch on the link between them.

Common questions

Do I have to buy every app to use one?

No. Each app can be used on its own with your Khanal ID. Five bundles (CS Firm, Contractor, Construction suite, Business suite and Khanal One) group apps together, each with one pool of seats; the pricing page lists what each bundle holds.

Do the apps copy data into each other automatically?

Links send records across, and by default the receiving app holds them for review. For example, contractor bills from K-Projects wait in K-Finance's review queue and reach the books when a person accepts them, unless an owner has switched on automatic posting for that link.

Where is our data kept?

App records are kept in databases on our server in India. Documents go to your organisation's own Google Drive or OneDrive through connected storage. The security page lists this app by app.
