- K-HR keeps employee records, attendance with location at check-in and check-out, office and site geofences, shifts, holidays, leave and the statutory records for PF, ESIC, PT and LWF.
- Punches work without network and are sent later. Location is read only at the punch, with consent.
- Month-end attendance and leave go to K-Finance payroll for review. K-HR itself holds no salary, PAN or bank details.
The attendance problem in firms with site and field staff
An office-only company can live with a biometric device at the door. A contractor, a distributor or a service company cannot: people start the day at a site, a client's plant or on the road. Phone-based attendance solves that, but brings its own questions. Was the person really at the site? What if there is no signal? And does the month's count reach payroll without someone retyping it?
Attendance with location
Employees check in and check out from a phone or a computer. The location is read only at that moment, and only when the employee ticks the consent box shown above the buttons. Nothing is tracked during the day. Positions are kept for 13 months by default and then deleted; the time of the punch stays as the attendance record.
Geofences for offices and sites
Each office or site has a location and a radius. A punch outside it is flagged for HR, or refused if you choose. We say plainly that a phone's position can be faked, so the fence is a pointer for HR to check, not proof. K-HR does not take a selfie at check-in and does not connect to biometric devices.
Works without network
A check-in pressed with no signal is kept on the phone with the time it was pressed and sent when the connection returns. Punches more than 7 days old or more than 5 minutes in the future are not accepted, and sending one twice records it once.
Workers without e-mail
Many site and field workers have no work e-mail or authenticator app. An admin can create a field login: the worker activates their own phone once with a code, then signs in with the organisation code, employee code and a 6-digit PIN. K-HR opens straight at check-in. Field logins can be employees or managers in K-HR (a supervisor approving their crew), never HR manager or admin. Office staff sign in with e-mail, password and a mandatory authenticator code.
Shifts, holidays and leave
- Day and night shifts with grace minutes, half-day and absent rules, weekly offs, and overtime after the shift.
- Holiday lists per location, including optional (restricted) holidays.
- Leave templates for CL, EL or PL, SL, comp-off, maternity, paternity, bereavement, restricted holiday, short leave, leave without pay and work from home, with monthly or yearly credit, pro-rata on joining, carry-forward caps, half days, the sandwich rule and minimum notice. Every rule can be edited; check it against your state's Shops and Establishments Act and your policy.
- Missed punches: an employee asks within 60 days, and the manager or HR approves. Nobody approves their own request.
Managers see their own team on a "today" board: who is in, late, not in yet, absent, on leave or off, by location.
PF, ESIC, PT and LWF records
K-HR keeps the HR side of statutory compliance: UAN, PF membership or exclusion, EPS as decided by HR, ESIC IP number and dispensary, PT and LWF state, Form 11, Form 2, Form 1 and Form F, and nominations whose shares must add up to 100%. A compliance calendar lists due dates for the year (PF ECR and ESIC by the 15th, PT and LWF by state, bonus, gratuity, shops and establishment renewal, the POSH annual report and Form 16), each with an owner and filed status. A gratuity tracker shows when an employee reaches five years of service.
For the contribution arithmetic, use the free PF and ESIC contribution calculator; for contract labour, read PF and ESIC for contract workers.
The link to K-Finance payroll
K-HR deliberately does not calculate pay. Once an admin pastes a link token from K-Finance:
- Employees come across from payroll.
- Each month's paid days, loss-of-pay days, leave and overtime hours, new employees, statutory identifiers and exits go to K-Finance's review queue.
- A person in payroll accepts them. K-Finance then works out PF, ESI, PT, LWF, bonus, gratuity and the pay.
Splitting it this way keeps salary, PAN and bank details out of the HR app, where more people have access, and keeps money calculations in one place.
Privacy by design
- Only the last four digits of Aadhaar are stored.
- ID proofs are kept only in your organisation's own Google Drive or OneDrive (folder 09 - K-HR, marked restricted), opened through K-HR only by HR managers, admins or the employee, and every opening is logged. Managers never see documents.
- Employees see only themselves and can download everything held about them.
- Every change is written to an audit log linked as a hash chain.
- A POSH Internal Committee case log is seen only by HR managers, admins and current committee members; every view is logged.
- There are no AI features in K-HR.
Registers and downloads
Muster roll (attendance register), leave register by type and year, and overtime hours, on screen, in print, CSV and Excel.
Where K-HR stops
K-HR does not run payroll itself and has no biometric device link; appraisals and recruitment are not among its features. If you want payroll inside the HR product, or a long list of ready integrations, a dedicated HR and payroll suite may suit you better; we compare the options, with sources, in connected suite vs separate tools. K-HR suits companies that want attendance and statutory records tied to site work and to K-Finance payroll, under the same login as the rest of their apps. K-HR is part of the Business suite and Khanal One; plans are on the pricing page.
Common questions
Does K-HR track employees' location all day?
No. The location is read only when someone presses Check in or Check out, and only when they tick the consent box. Positions are deleted after 13 months by default.
Does K-HR calculate salary, PF or ESIC?
No. K-HR keeps the HR-side records and day counts. K-Finance payroll holds salary, PAN and bank details and works out PF, ESI, PT, LWF, bonus, gratuity and the pay.
Can workers without e-mail sign in?
Yes. An admin creates a field login; the worker signs in on their own phone with an organisation code, employee code and a 6-digit PIN.
