- K-Survey covers the checks made at a site before work starts: a site register, survey requests, an on-site checklist, GPS check-in, photos at required angles, measurements, observations and the client's acknowledgement.
- Measurements become a BOQ with library rates, sent for approval and locked once approved.
- Requests arrive from K-CRM; an approved BOQ goes to K-Projects as a new or existing project.
Why the survey decides the margin
Ask an estimator where a loss-making job went wrong and the story often starts at the site visit. A level difference nobody noted, no truck access for the pump, an overhead line above the slab, a client request that was said on site but never written down. When the survey is in a notebook and the BOQ is built later in a separate sheet, those details fall through the gap. Our site survey checklist before a BOQ lists what to look for. K-Survey helps make sure it is captured and carried forward.
The flow, step by step
1. Request and day plan
A salesperson presses "Request site survey" on a K-CRM lead or deal, or a survey manager creates a request with a template, surveyor, date and site contact. You check the details in K-Survey and confirm. The surveyor gets an email at once and a reminder the day before; the board shows today, overdue and by status, and the day plan lists visits with directions. Each site is kept once, with its client, address and map pin, so a repeat visit sees everything from before.
2. On site: checklist, GPS and photos
- Ten checklist templates: building, interiors, renovation, roads, shed or PEB, waterproofing, MEP, solar, boundary and demolition. They cover plot, levels, access for trucks, cranes and pumps, overhead lines, power and water, permissions and hazards, each answer with a remark.
- GPS check-in and check-out. The position is read only when the surveyor presses the button, stored with its accuracy, and flagged when missing, inaccurate or more than 500 m from the site's pin. It is a deterrent, not proof.
- Photos into required angles: front, each side, access and existing condition slots must be filled before submit. Photos are resized on the phone, and their embedded location data is removed before they are stored.
- Works without network. Open the survey before you leave. Whatever is saved with no signal is sent when the connection returns; sending twice records it once.
Surveyors without a work e-mail can use a field login with a PIN on their own phone.
3. Measurements and observations
The measurement sheet takes area, description, item, nos × L × B × H, unit and deductions for openings, keeps the formula for each row and gives exact totals. CSV goes in and out. Observations record risks with severity, assumptions, exclusions and what the client asked for, and they travel into the BOQ notes. For quick quantity checks in the field, the free concrete and steel quantity estimator helps.
Client acknowledgement
Optionally, the client gives their name and mobile number, ticks a statement that the visit took place and the observations were recorded, and signs on the phone. It confirms the visit, not a price. The client's mobile number is never written to the audit trail or sent to another app.
Submit, review and amend
Submit needs every required answer and photo. A submitted survey is never edited in place: an amendment makes version 2, and every version stays readable. That gives you a clean record if the scope is disputed later.
4. BOQ with rates and approval
Measured items arrive in the BOQ with net quantities (deductions subtracted) and the rate from your item library. The estimator enters the missing rates and sends it for approval; a manager approves it or returns it with a note. Approved versions are locked. After an amendment, the BOQ shows what changed and you pick what to apply.
5. Hand-off to K-Projects
An approved BOQ goes to K-Projects as a new project or into an existing one, with the site facts and observations in its notes. Each hand-off is signed and shown for review before anything is created. Without the link, export the BOQ as CSV or Excel in the format K-Projects imports. What happens next on site is in DPR, MB and RA bills.
The pre-execution checklist
Twenty items per site cover permits, drawings received, handover readiness, temporary works and utility connections, with references and due dates. The site is ready for execution only when all are done or marked not needed. It helps avoid the familiar scene of a crew arriving at a site that has no power connection.
Report, roles and privacy
- A printable A4 report with photos, measurements, observations, the signature, GPS and version. It needs a sign-in; there are no public links.
- Roles: organisation admin, survey manager, estimator, surveyor and viewer. Surveyors see only the surveys assigned to them. Every change goes to an audit log linked as a hash chain.
- Photos, sketches and drawings are kept only in your own Google Drive or OneDrive (folder 10 - K-Survey). No map tiles are loaded from outside services.
- With on-server AI switched on by your admin, a survey summary can be drafted from the answers, remarks and observations, never from the client's name, mobile or signature.
Who it suits
Contractors, builders, interior, MEP, solar and road companies that visit a site before quoting or starting work. K-Survey stops at the start of execution; daily progress, bills and materials belong in K-Projects. It is part of the Construction suite and Khanal One (pricing).
Common questions
Does K-Survey work without mobile network?
Yes. Open the survey before you leave. Answers, measurements, observations and photos saved with no signal are sent when the connection returns. Items older than 7 days are not accepted.
What does the client sign?
Optionally, a statement that the visit took place and the observations were recorded. It is not acceptance of a price.
Is the GPS check-in proof that the surveyor was on site?
No. It is what the phone reports, so it is a deterrent, not proof. It is flagged when missing, inaccurate or more than 500 m from the site's pin.
