Field staff login with a 6-digit PIN on their own phone

Site supervisors, surveyors and workers without email can sign in on their own phone with an organisation code, an employee code and a 6-digit PIN. This article shows how an admin creates the login and how the employee sets up the phone.

What you need

  • An owner or admin of the organisation in Khanal ID
  • The organisation uses K-HR, K-Projects or K-Survey
  • The employee's name and employee code, for example E102
  • The employee's own phone with a browser

Create the field login (admin)

  1. Sign in at khanals.in/org and open your organisation.
  2. Click Field staff.
  3. Under New field login, type the Name and Employee code.
  4. Type the mobile number if you want. It is kept as a record only; nothing is sent to it.
  5. Type an email if you want the activation link sent there once. It is not kept.
  6. Tick the apps the person should open. Only apps your organisation uses are shown.
  7. Choose the K-HR role: Employee or Manager (approves their team).
  8. Click Create and show the activation code.
  9. Print the slip or show it to the employee. The code is shown only once and works for 72 hours.

Set up the phone (employee)

  1. On your own phone, scan the QR code on the slip, or open khanals.in/staff/activate.
  2. Type the activation code, for example XXXX-XXXX-XXXX, if it is not filled in.
  3. Choose a 6-digit PIN and type it again.
  4. Tap Set up this phone. You see Your apps.

Sign in every day (employee)

  1. Open khanals.in/staff on the same phone.
  2. Check the Organisation code (for example ABCI417) and Employee code. A set-up phone fills them in.
  3. Type your 6-digit PIN and tap Sign in.
  4. Tap the app tile. K-HR opens at check-in.

Reset a PIN, remove a phone or turn a login off (admin)

  1. Open your organisation at khanals.in/org and click Field staff.
  2. Find the person in Field logins. The State column shows Waiting for activation, Code expired, Active, Locked or Turned off.
  3. Click Reset PIN / new code for a forgotten PIN, a locked login or a new phone. Give the new code to the employee.
  4. Click Remove phone next to a lost or old phone. It no longer signs in.
  5. Click Turn off when the person should stop using the apps. They are signed out of every app. Turn on undoes it.

Good to know

  • PIN rules: exactly 6 digits. Not allowed: the same digit six times, digits in a row (123456, 654321), repeated pairs (121212), common PINs, the employee code or the mobile number.
  • Lockouts: 5 wrong PINs in a row means a 15-minute wait. 10 wrong PINs in a row locks the login until an admin resets the PIN. 10 wrong tries from one phone in 15 minutes makes that phone wait.
  • One phone works for one person. One login works on at most 2 phones. A field sign-in lasts up to 12 hours and ends after 4 hours without use.
  • Field roles are: K-HR employee or manager, K-Projects site engineer, K-Survey surveyor. Office roles need an email login with two-step verification (see here). K-HR, K-Projects and K-Survey can also create field logins from their own Team or employee pages.

Common errors

"This phone is not set up for a field login. Ask your admin for an activation code."

The phone has not been activated, or its browser data was cleared. Ask the admin for a new code with Reset PIN / new code, then set up the phone again.

"Organisation code, employee code or PIN is not right."

Check both codes on the slip and type the PIN again. Use the same phone you set up.

"Your login is locked after too many wrong PINs. Ask your admin to reset your PIN."

The admin clicks Reset PIN / new code on the Field staff page. Open the new code on the phone and choose a new PIN.

"This activation code has expired (codes work for 72 hours)."

Ask the admin for a new code. The old one cannot be used again.

"Your login is already set up on 2 phones. Ask your admin to remove one first."

The admin clicks Remove phone next to the old phone, then gives a new code.

"This app is not part of your login"

The admin has not given you that app. Ask them to tick it for your login.
