Connected suite vs separate point tools, and India-specific vs global: an honest comparison

There is no single right answer. Well-known tools such as TallyPrime, Zoho One, Keka, greytHR, Procore and Docusign are strong at what they do, and in places stronger than us. This guide sets out the trade-offs so you can choose for your firm.

In short
  • Separate "best of breed" tools give you depth in each job and large integration lists. A connected suite gives you one login, data typed once and fewer gaps between jobs.
  • Global tools bring scale and ecosystems. India-specific tools build in GST, TDS, PF, ESIC, tender and site practice from the start.
  • Every statement about another company below comes from that company's own public pages, read on 25 October 2026 and cited at the end. Their products change; check before you decide.

Two questions to settle first

Before comparing brands, decide two things about your firm:

  1. How many jobs do you need software for, and how often does work pass between them? If accounts are the only job, a good accounting package is enough. If a tender becomes a project, the project creates bills, the bills reach accounts and attendance reaches payroll every month, the hand-offs matter as much as the tools.
  2. How Indian is your work? GST per GSTIN, TDS under the Income-tax Act 2025, PF and ESIC, GeM and CPPP tenders, CPWD-style measurement books and RA bills are everyday work for an Indian contractor. Global tools may handle them through settings, add-ons or partners; India-built tools tend to have them in the core. Several of the tools named below, including TallyPrime, Zoho, Keka and greytHR, are themselves built in India.

Connected suite vs separate point tools

Separate point toolsConnected suite
Depth in one jobUsually deeper; each vendor focuses on one areaEnough for most SMEs; may lack niche features
Data typed onceOnly if you build or buy integrationsBuilt in, through the suite's own links
Logins and accessOne per tool; leavers removed tool by toolOne sign-in; removal in one place
Integration catalogueOften large, with many third-party appsUsually smaller, focused on the suite
Switching riskReplace one tool at a timeMore of your work depends on one vendor
TrainingSeveral interfaces to learnOne way of working across apps

The vendor-dependence point deserves weight. With any suite, ask how you get your data out. In the Khanal apps, K-Finance (with K-Secretarial and K-IPO), K-Tender, K-Projects, K-CRM, K-Logistics, K-Survey and K-HR have an export; K-MailSign data is exported as a ZIP of JSON and CSV files; and documents already sit in your own Google Drive or OneDrive.

India-specific vs global tools

Global products serve customers in many countries and can invest in breadth, security certifications and ecosystems at a scale a young Indian company cannot match. India-built products can take Indian practice as the default rather than a configuration. Neither is better in general. Ask the vendor to show your actual documents: a GSTR-2B mismatch, a contractor bill with TDS 194C and retention, a PF ECR month, a GeM bid with EMD exemption, an RA bill from a measurement book.

What well-known tools say about themselves

We picked tools that Indian SMEs and contractors often consider. Each note gives facts from the company's own pages (as of October 2026), where it is clearly strong, and how the Khanal app in the same area differs. We have not tested these products ourselves, so we do not rate them.

TallyPrime (accounting)

Tally Solutions describes TallyPrime as one-stop business management software covering accounting, inventory, statutory compliance, banking and payroll. Its page says IRN, QR and e-way bill numbers print on the invoice and that it can generate e-invoices and e-way bills; it also covers TDS and TCS. Its download page lists Windows as the platform, and the product page says TallyPrime can be opened on the cloud. Licences include Silver for a single PC and Gold for multi-user access on multiple PCs, and a perpetual option described as "one-time payment, lifetime usage"; its FAQ says Tally Software Service (TSS) is renewed from the second year for its value-added services.

Where it is stronger: it generates e-invoices and e-way bills itself, which K-Finance and K-Logistics do not; it is long established, and many Indian accountants and CAs already know it. How K-Finance differs: it does not ask you to leave Tally. Its read-only connector brings Tally masters and the Day Book into K-Finance, which adds GST working per GSTIN, 2B reconciliation, TDS mapped to the 2025 Act codes and a review queue for entries from site and dispatch apps. See GST-ready accounting with a Tally connector.

Zoho One (business suite) and Zoho Books (accounting)

Zoho One's page lists 45+ apps included and 1,000+ interoperable integrations. Its pricing page offers "all employee pricing", where the business buys licences for all employees on its payroll, and a flexible per-user option. Zoho Books India says it can generate e-invoices, e-way bills and delivery challans, supports bank feeds from major Indian banks, has mobile and desktop apps, prices per organisation, and offers a forever free plan.

Where it is stronger: breadth (far more apps than our eleven), a very large integration list, e-invoice and e-way bill generation, and connected banking. How Khanal differs: the apps are built around construction and project work (tender EMD and bank guarantees, DPRs, measurement books, RA bills, site surveys to BOQ), with field logins by PIN for staff without e-mail and offline capture on site. Links between apps hold records for a person to review rather than syncing silently.

Keka and greytHR (HR and payroll)

Keka's page says it calculates TDS, PF, ESI and PT at current rates, captures attendance across offices, shifts and field teams through biometric, GPS and mobile check-ins, and integrates with 100+ tools. greytHR's page says it auto-computes PF, ESI, PT, LWF and TDS across all 28 states and generates digitally signed Form 16 and 12BA, and states SOC 2 and ISO 27001 certification; its ESS can be used through a mobile app or the web.

Where they are stronger: payroll inside the HR product, biometric attendance (Keka), stated security certifications (greytHR; Khanal Group does not claim such certifications), and integration lists. How K-HR differs: K-HR keeps HR records, attendance with consent-based location, office geofences, offline punches and statutory identifiers, and sends month totals to K-Finance payroll for review, where PF, ESI, PT, LWF and pay are worked out. It suits firms that want site attendance under the same login as their project and finance apps. See HR with geo-fenced attendance.

Procore (construction management)

Procore describes itself as construction project management software and lists 500+ integrations. Its pricing page says it charges an upfront annual fee by product based on Annual Construction Volume, and that it never charges for adding more users. Its support site says many features of the mobile app can be used offline.

Where it is stronger: an established platform with a large integration marketplace and unlimited users under its pricing model. How K-Projects differs: it is built on Indian contract practice: a measurement book with manager checks, RA bill abstracts at BOQ rates, contractor bills with GST, TDS 194C and retention, muster rolls and a BOCW cess register, and links to K-Tender, K-Survey and K-Finance. Ask any vendor, us included, to show your own RA bill format. See DPR, MB and RA bills.

Docusign and Zoho Sign (document e-signature)

Docusign's India legality page says electronic signatures are legally recognised in India under the Information Technology Act, 2000, and lists documents they cannot be used for, such as wills, powers of attorney and property sale deeds. Zoho Sign's page describes it as a digital signature and workflow platform for Indian businesses that integrates with Aadhaar eSign, priced per user per month.

This is a category Khanal Group does not offer. K-MailSign manages email signatures, which is a different job. If you need to sign contracts, use a document e-signature service. See email signature vs e-signature.

What the Khanal apps do differently

Each point below is something the apps do today, as described on our product and security pages:

  • One Khanal ID for every app. Office staff must set up two-step verification with an authenticator app before any app opens.
  • Field logins without e-mail: organisation code, employee code and a 6-digit PIN on the worker's own phone, for K-HR, K-Projects and K-Survey.
  • Offline capture on site: DPRs with photos, attendance punches and survey data are kept on the phone and sent when the signal returns.
  • Links with a review step: records from one app wait in the receiving app until a person accepts them.
  • Indian rules in the core: GST working per GSTIN, TDS mapped to the Income-tax Act 2025 codes, PF, ESIC, PT and LWF records, TDS 194C on contractor bills, the MSME 45-day flag, GeM and CPPP bid checklists.
  • Data on our server in India, with documents in your own Google Drive or OneDrive. Details on the security page.
  • On-server AI, off by default: an open-source model on our own server writes drafts; record text is not sent to outside AI companies or used for training.
  • Everything in the plan: no features sold on top and no per-use charges; the only allowances are GST and MCA look-ups that an outside provider charges us for.

Where we are weaker, plainly

  • Most of our apps are in beta and newer than the tools above.
  • Our integration list is small: mainly the Khanal apps, Google Workspace, Microsoft 365, Google Drive, OneDrive and a read-only Tally connector.
  • We do not generate e-invoices or e-way bills, file returns, run biometric attendance, offer document e-signing or a WhatsApp Business API inbox.
  • We do not claim third-party security certifications.
  • Native mobile apps are not offered; phones use the web apps added to the home screen.

A simple way to decide

  1. List the jobs you need software for, and the hand-offs between them.
  2. Fill in the cost sheet in the real cost of separate software tools for each option.
  3. Run a trial of each shortlisted option on one real project or one real month, with the people who will use it.
  4. Ask every vendor how you get your data out, where it is stored, and what is charged beyond the plan.

Common questions

Is Khanal Group better than Zoho One or Tally?

It depends on the job. Those products are older, broader in places and have far larger integration lists. Khanal's apps are built around Indian construction and SME workflows with one sign-in and review-before-posting links. Try both on your own data.

Can I keep Tally and still use the Khanal apps?

Yes. K-Finance's Tally connector only reads masters and the Day Book from TallyPrime or Tally.ERP 9; it never writes to Tally.

Where did the competitor facts come from?

Only from each company's own public web pages, read on 25 October 2026. The links are in the Sources section. Their offers change, so check their pages before deciding.
