- K-Tender is a bid desk for contractors, suppliers and EPC firms bidding on GeM, CPPP and state e-procurement portals.
- It keeps deadlines with reminders, bid checklists, an eligibility matrix, a versioned document vault, EMD and bank guarantees, approvals and an audit trail.
- It prepares and tracks bids. It never submits bids, signs with a DSC, stores DSC PINs or portal passwords, or pays EMD.
Where bids go wrong
Ask any tender executive what went wrong on a lost bid, and the answer is often not the rate. It is a corrigendum that changed the closing date, a turnover certificate that expired a week before submission, a similar-work certificate that did not meet the 40% test, or an EMD refund nobody followed up. These are tracking problems. A spreadsheet can track them, but only if one person keeps it current every day.
Tender register and deadlines
Every tender sits in one register with its key dates in your time zone. Reminders go out 7, 3 and 1 days before each date, and on the day. You add tenders yourself, import them from Excel, or pick them from feeds your administrator enables. K-Tender does not log in to portals.
If you want to find tenders first, open government tenders by state and kind of work are listed free at tender.khanals.in/tenders, with an optional daily e-mail of new ones at tender.khanals.in/alerts. No account is needed.
Bid checklists
Checklists come from templates for GeM, CPPP, state portals, works, supply, joint ventures and sports surfaces (FIH, FIFA, World Athletics), with an owner and a review on each item. For GeM in particular, compare your list with our GeM bid document checklist.
Eligibility matrix
Turnover, experience and other criteria are compared with your own numbers. A shortfall is flagged, and only a reviewer can mark a criterion as met. A library of completed works with completion certificates includes a finder for the usual 80% / 50% / 40% similar-work tests. To try the arithmetic on its own, use the tender eligibility calculator, and read similar works, turnover and bidding capacity.
Document vault and bid packages
- Company documents are versioned, with expiry alerts. When you record a submission, the exact version used in that bid is frozen.
- Files are private to your organisation, never publicly reachable, and every download is logged. They are kept in your own Google Drive or OneDrive through connected storage.
- A document factory drafts declarations and letters from your data in Word and PDF, and builds merged, indexed and numbered bid packages with a readiness report.
EMD and bank guarantees
K-Tender tracks EMD payments and refunds, bank guarantee validity, claim periods, amendments, margins and facility limits. Reports show EMD ageing and BG exposure, so money stuck in old bids and guarantees close to expiry are visible in one place. K-Finance can read receivables and bank guarantees from K-Tender with an API key you create for your workspace. Background reading: EMD, bank guarantee and performance security, and the EMD and performance security calculator.
Approvals and audit trail
Bid / no-bid, technical, commercial and final approvals are bound to the exact version approved, and every change is logged. If a rate changes after the commercial approval, it shows. This matters most in companies where the person who prepares the bid is not the person who signs off.
Reports and bid intelligence
Pipeline, win / loss, competitor prices from published results, EMD ageing and BG exposure. Over a year, the win / loss and competitor-price reports tell you which departments and categories are worth your bid cost.
After you win: hand-off to the site
A won contract can be sent to K-Projects with its BOQ and milestones; a person signs in to K-Projects and confirms before the project is created. The site team runs daily reports, measurements and contractor bills there. For the client RA bill, you upload the RA abstract file downloaded from K-Projects, and K-Tender pre-fills the bill for you to check, add deductions and save. See construction project management: DPR, MB and RA bills.
Reading long tender documents
K-Tender can read tender PDFs (OCR) to pull out key dates and values. With on-server AI switched on by your admin, it can also group a tender's eligibility and document requirements into a checklist. Dates and amounts come from the stored fields or the values read from the PDFs, marked as checked or not, or "not found — check the tender document". The AI runs on our own server in India and is off until you switch it on. A short-lived working copy of a document being read is deleted when the reading ends.
What K-Tender does not do
- It does not submit bids. Your team uploads and submits on the portal with its own DSC, then records the acknowledgement in K-Tender.
- It does not store DSC PINs or portal passwords, and it does not pay EMD.
- It does not decide eligibility for you. It compares numbers; a reviewer confirms each criterion against the tender document.
Who it suits
Civil and sports-infrastructure contractors, suppliers and EPC firms that bid regularly, especially where several people work on one bid. A firm bidding once or twice a year can manage with a good checklist; a firm with ten live bids and a dozen guarantees usually cannot. Plans and the free tier are on the pricing page.
Common questions
Does K-Tender submit bids on GeM or CPPP?
No. Your team submits on the portal with its own DSC. You then record the submission in K-Tender, and the exact document versions used are frozen.
Can I see open tenders without an account?
Yes. Open government tenders by state and kind of work are on tender.khanals.in/tenders, and a free daily e-mail of new ones is at tender.khanals.in/alerts.
Will it tell me if we are eligible?
It compares the turnover and similar-work values you enter with the tender's thresholds and flags any shortfall. A reviewer on your team confirms each criterion against the tender document.
