CRM for construction and B2B sales in India: from enquiry to GST quotation to project

Construction and B2B sales in India run on phone calls, site visits and quotations with the right GST split. A general-purpose CRM can be bent to fit; K-CRM starts from that workflow.

In short
  • K-CRM takes an enquiry from your website, a CSV or a phone call through follow-ups and site visits to a GST quotation your customer accepts online.
  • It checks duplicates by phone, email and GSTIN, records DPDP Act consent and opt-outs, and keeps a pipeline with a monthly forecast.
  • A deal can request a site survey in K-Survey and, once won, start a project in K-Projects.

How B2B and construction sales actually run in India

A typical enquiry for a contractor, interior firm, solar installer or industrial supplier goes like this: a form on the website or a call, a few follow-ups, a site visit, a measurement, a quotation with HSN codes and the right GST split, a revised quotation, and finally a purchase order. Along the way the same customer is often entered three times, the quotation is a Word file on someone's laptop, and nobody knows which leads have not been called in a week.

Global CRMs can be configured for this, with effort. K-CRM is built around that path from the start.

Capturing leads

  • Website forms. Make a form in K-CRM, list your website address and paste the code into your site, or link to the form's own page. Spam is held back by a hidden field, a time check and limits per visitor, and each form takes at most 200 new leads a day unless you change it.
  • CSV import. Download the template, fill it and import. Rows with a problem are listed with the reason; "Only check the file" imports nothing.
  • Duplicate check. A new lead is checked by phone, email and GSTIN against leads, contacts and companies. Managers can merge a duplicate, and its activities and files move across.
  • Assignment rules. New leads go to a person by city, by product, or in turn.
  • Lead score from 0 to 100, with the reason for each point: contact details, a valid GSTIN, source, value, consent and recent activity.

Built for Indian data

Companies carry a GSTIN that is checked including its last character, and a PAN that must match the GSTIN. A company can hold several addresses (billing, shipping, site, office). Quotations use HSN or SAC codes and pick CGST and SGST or IGST from the place of supply, with the amount in words. If you need a quick check of e-invoice or e-way bill thresholds before billing, use the e-invoice and e-way bill checker.

Consent and do-not-contact under the DPDP Act

Each lead and contact keeps what the person agreed to: the purpose, the date, how consent was given and the exact text. If the person says stop, or uses the stop link in an email from K-CRM, their email and phone go on your organisation's do-not-contact list, and K-CRM then sends that person no email from anyone in your organisation. Any later record with the same email or phone is marked too. Opened emails are not tracked. The email and phone of an opted-out contact are not passed to other apps.

Follow-ups and site visits

Log a call, meeting, site visit, WhatsApp chat or note on any lead, deal, company or contact. On a site visit, "Check in here (GPS)" records where you are, after the phone asks. Tasks carry a due date and an email reminder; a morning email lists anything overdue. A needs attention list shows overdue follow-ups, leads not called in 2 days, unassigned leads, deals past their close date or with no next step, and quotations about to expire.

WhatsApp works through click-to-chat links: the button opens a chat on your phone and you can log it. K-CRM is not connected to the WhatsApp Business API and sends no WhatsApp messages by itself.

Pipeline, forecast and reports

Deals show on a board with one column per stage and as a list. Product lines set the deal value before GST. The monthly forecast lists open deals by the month they should close, with value and probability-weighted value; late and undated deals are shown apart. Reports cover funnel, conversion by source, win rate, sales cycle, activity by person, overdue follow-ups and deals with no next step, and each downloads as CSV.

GST quotations accepted online

A quotation is built from the deal's lines, with discounts and terms, and is printable. Sending it creates a signed link that works until the valid-until date. The customer opens it, prints it and accepts or declines once, with their name; the time is recorded and you get an email. A new version stops the old link working, so nobody accepts an outdated price.

From deal to survey to project

This is where a CRM inside a connected set of apps saves the most typing:

  1. Request site survey on a lead or deal sends the site and contact to K-Survey for review. The survey's status comes back to the deal. See site survey to BOQ in one flow.
  2. A won deal can start its project in K-Projects, and the deal is marked as sent.
  3. Accepted quotations becoming K-Finance invoices, and tender leads going to K-Tender, are listed as coming on the product page. They are not live yet.

The customer is kept once in the shared Khanal ID directory, so K-Projects, K-Logistics, K-Tender and K-Finance can fill a new record from it. An opted-out contact's details are not shared.

Email drafts that stay on our server

With on-server AI switched on by your admin, K-CRM can draft a follow-up email and summarise a lead's or deal's timeline. Amounts, names and quotation numbers are filled in from the records, not written by the model, and the send button needs the tick "I have read and checked this AI draft". The model runs on our own server in India; nothing goes to an outside AI company.

Roles

Organisation admin, sales manager, sales executive and viewer. Sales executives see only their own leads and deals. Every create, change, delete and send is logged. Files are kept in your organisation's own Google Drive or OneDrive (folder 07 - K-CRM).

Is it a fit?

K-CRM suits Indian businesses that sell through enquiries, phone follow-ups, site visits and GST quotations, from an owner who sells alone to a team with managers and executives. If you need marketing automation, bulk campaigns or a WhatsApp Business API inbox, a larger marketing-focused CRM will do more. A free plan is listed on the pricing page.

Common questions

Does K-CRM send WhatsApp messages?

No. The WhatsApp button opens a click-to-chat link on your phone, and you can log the chat as an activity. K-CRM is not connected to the WhatsApp Business API.

Can a sales executive see other people's leads?

No. A sales executive sees only the leads and deals assigned to them or that they created. Managers and admins see everything.

How is GST shown on quotations?

When the place of supply is in your state the quotation shows CGST and SGST; in another state, IGST. Lines carry HSN or SAC codes.
