- An email signature is the block of name, title, phone, logo and banner at the bottom of every email. An e-signature is a legally recognised way of signing a document electronically.
- K-MailSign manages email signatures for every employee on Google Workspace or Microsoft 365. It is not a tool for signing contracts.
- K-MailSign costs ₹75 per user per month at list price, excluding GST, with at least 3 licences. The 14-day trial needs no card.
Two tools with confusingly similar names
| Email signature | E-signature (document signing) | |
|---|---|---|
| What it is | Name, title, phone, address, logo, banner and links under each email | An electronic way of signing a contract, agreement or form |
| Why it matters | Brand consistency, correct contact details, legal footers, promotions | Legal validity of a signed document, an audit trail of who signed when |
| Who manages it | The IT or admin team, for every mailbox | Whoever sends a document for signature |
| Law that matters most | Your own company policy; company-law details you choose to show | The Information Technology Act, 2000 |
| Khanal Group | K-MailSign | Not offered; use a document e-signature service |
The rest of this guide covers both briefly, then K-MailSign in detail.
E-signatures in India, in brief
Docusign's page on Indian law, as of October 2026, says electronic signatures are legally recognised in India and are provided for in the Information Technology Act, 2000. The same page lists documents the Act excludes, such as promissory notes and bills of exchange (cheques aside), powers of attorney, trust deeds, wills, and contracts for the sale of immovable property. It mentions Aadhaar e-KYC as one way to authenticate an electronic signature under the Act's Second Schedule. Check the exact position for your document with your lawyer.
Several services offer document e-signing in India. For example, Zoho Sign's own page (as of October 2026) describes it as a digital signature and workflow platform for Indian businesses and says it integrates with Aadhaar eSign. We do not offer document e-signing, so if that is what you need, compare such services directly. Sources are listed at the end.
Why email signatures go wrong in growing firms
In a company with 20 or 200 mailboxes, each person usually types their own signature. Within a year you have old phone numbers, three versions of the logo, missing GSTIN or CIN lines where you want them, and a promotion banner that half the staff never added. When someone changes role, their signature stays wrong until they notice. For a small firm, email is often the most-seen part of its online presence, so this is worth fixing.
How K-MailSign handles it
Connect once
Your Google Workspace or Microsoft 365 admin signs in once and grants access. There are no scripts to run on each machine.
Design and assign
Design a signature once from blocks, with employee photos, a banner and links, and assign it to people, teams or the whole company. Different departments or offices can have different signatures.
Directory sync
Names, titles and phone numbers come from your directory. When a person's title or phone changes there, the signature follows.
Deploy to Gmail and Outlook
Signatures are deployed to every mailbox with a preview first. In Microsoft 365, an Outlook add-in applies signatures, including in Outlook on the web; the admin deploys it once from the Microsoft 365 admin centre. The help guide also covers phones through server-side rules. Step by step: deploy to Gmail and Outlook and switch on the Outlook add-in.
What K-MailSign stores, and where
Account records are kept in a database on our server in India. Logos, employee photos and banners are also on our server and are publicly reachable at long random addresses, because the mail programs of the people you email must be able to load them. Every image is re-encoded when stored, which removes its metadata. You can export everything as a ZIP of JSON and CSV files. K-MailSign has no AI features. More: K-MailSign security and privacy.
Price and trial
K-MailSign is priced per licence, one licence for each employee with a managed signature: ₹75 per user per month at list price, excluding GST, with at least 3 licences. With the Founding Offer code FOUNDING26 (first 50 paying organisations that sign up by 31 March 2027) it is ₹49 for the first 12 months. The trial runs 14 days for up to 3 active employees, with no card. Licences can already be bought in the app and are paid through Razorpay. K-MailSign licences are also included in every bundle. Full terms are on the pricing page and in K-MailSign plans and limits.
Email signatures and your wider online presence
For a small firm, online presence is more than a website. It is every email your staff send, every quotation link a customer opens, and every enquiry form that reaches the right salesperson. In the Khanal apps:
- K-MailSign keeps every email signature consistent.
- K-CRM puts an enquiry form on your existing website and sends quotations as a link your customer accepts online.
- All apps sign in with one Khanal ID, so a new employee is set up once.
We do not build or host websites, and we do not provide business email itself; K-MailSign works on top of the Google Workspace or Microsoft 365 mailboxes you already have. The overall cost picture is in the real cost of separate software tools.
Common questions
Is K-MailSign an e-signature tool for signing contracts?
