Import a bank statement and reconcile it
K-Finance reads the statement you export from net banking, suggests matches with your records, and helps you create what is missing. Nothing is posted by itself.

What you need
- The statement as Excel (.xlsx, .xls) or CSV from net banking, not a PDF
- The company’s own bank account added under Settings → Entities
- Accountant, Treasury User or Finance Manager role (or higher)
- A plan that includes bank review
Add the bank account (once)
- Open Settings → Entities and open your company.
- Under Bank accounts, click Add own bank account.
- Type the Bank name, Account number, IFSC and Account type, then click Save.
- If the message says Saved — sent for approval before it can be used, ask the approver to approve it.
Import the statement
- Open Bank statements under Money.
- Click Import statement.
- Choose the Bank account and pick the Statement file.
- Read Check the statement: the period, the number of lines and whether the running balance continues. Nothing is written until you import.
- Click Import. Only new lines are added if the file overlaps what is on file.
Review the lines
- Open the tab To review.
- Click Accept … sure matches to accept only the high-confidence, unambiguous matches on the page.
- For a line with no match, click Create entry and choose what it is, for example Receipt from a party or Expense (with GST / TDS).
- Use Split when one bank line covers several records, or Ignore when it is not a business transaction.
- Click Undo on a line if you made a wrong decision.
Check the bank reconciliation
- Open the tab BRS.
- Compare Balance as per bank statement with Balance as per books.
- Explain each item in Difference to explain until it shows Reconciled — no difference.
Good to know
- Use Rules to save a rule such as “when the narration has … then …” so similar lines get the same suggestion.
- Rapid bank coding lets you code lines from the keyboard (R, P, E, T, M, S, I).
- Without permission to post, an entry made from a bank line goes for approval.
- On the first statement a difference is usually the opening balance. A statement can hold up to 50,000 rows and 15 MB; import a shorter period if it is larger.
Common errors
"No company bank accounts" or "Add your own bank account first (Settings → Entities)."
Add the company’s own bank account under the entity first, then import again.
"No header row with a date column and withdrawal / deposit (or amount) columns was found …"
The file is not a plain statement export. Download it again from net banking as Excel or CSV. Do not convert a PDF to Excel.
"… line(s) have an amount without a debit / credit side …"
The file has one amount column with no Dr/Cr marker. Export the statement with separate withdrawal and deposit columns.
"Opening does not continue the last balance"
A period is missing or the file starts on a different date. Import the missing period, or go ahead and explain the gap in the BRS.
"Importing statements needs a plan with bank review."
Your plan does not include bank review. See Plan & usage and Plans and limits.
