What you need

  • The Owner, Administrator, Marketing administrator or Signature designer role
  • Your logo and company details saved under Settings
  • Square employee photos, 200 px or larger (optional)
  • A banner image, PNG, JPG, GIF or WebP, up to 2 MB (optional)

Start from a template

  1. Click Template gallery in the sidebar.
  2. Search by name or pick a category.
  3. Tick Use my brand colour to see the designs in your colour.
  4. Click Use template. A new signature opens in the designer. Your existing signatures do not change.

Edit the design

  1. Click a block under Add block, for example Name & title, Contact details, Company logo or Disclaimer.
  2. Drag the layers to change their order.
  3. Click a layer to change it in the Block tab.
  4. Click Global style to set the layout, fonts, colours and spacing.
  5. Use Preview as to see a real employee’s details, and the Desktop, Mobile and Dark-mode mail client buttons to check the look.
  6. Click Save.

Add employee photos and a banner

  1. Add a Profile photo block to the design.
  2. Open Employees, click a person and upload a square JPG or PNG under Profile photo.
  3. Or tick people and click Ask to fill details. Each person gets a 14-day link to add their own photo and numbers.
  4. For a banner, add a Banner block, then click Upload banner or paste an https image address.
  5. Type the Click-through link and Alt text, then click Save.

Give signatures to groups

  1. Click Signatures in the sidebar.
  2. Click Assign on a signature.
  3. Tick the departments, offices or individual people who should use it, then click Done.
  4. Click Make default on the signature everyone else should get.

Good to know

  • The most specific rule wins: the person’s own choice, then their department, then their office, then the company default.
  • Empty fields are hidden per person. Add a fallback with a variable such as {{employee.mobile|Call the office}}.
  • Open Version history (clock icon) to restore an earlier version.
  • Only 25 email-safe fonts are offered, because Gmail and Outlook remove web fonts. Classic Outlook for Windows shows photos square.

Common errors

"Image must be 2 MB or smaller."

Make the file smaller and upload it again. Photos are stored at up to 400 px wide and banners at up to 1,400 px, so a larger file is not needed.

"Only PNG, JPG, GIF or WebP images are allowed."

Save the image in one of these formats and upload it again.

"Image dimensions must be between 16 and 3000 pixels."

Resize the image so each side is between 16 and 3,000 pixels.

"Someone else saved this signature. Reload to see their changes."

Another team member saved it while you were editing. Reload the page, then make your change again.

A photo or phone number does not show in the signature

Empty values are hidden. Check that the person’s record has the value, and that the design has a Profile photo block or a Contact details block with that field ticked.
