K-Finance

Move your books from Tally to K-Finance

The Migration center brings over one company’s masters, opening balances and vouchers. You can upload Tally XML files, or let the read-only Tally connector send them.

What you need

  • The company added under Settings → Entities
  • TallyPrime or Tally.ERP 9 with the company open
  • A paid K-Finance plan (Free shows a trial-balance preview only)
  • Owner, Admin or Finance Manager role to commit

Export from Tally

  1. In Tally, go to Gateway of Tally → Display More Reports → List of Accounts.
  2. Press Alt+E for Export, choose XML (Data Interchange), and include ledgers, stock items, godowns and units.
  3. Go to Display → Day Book, press F2 to set the period you bring over, and export it as XML.
  4. Keep the files as Tally wrote them (UTF-16). Each file can be up to 40 MB.

Start the migration

  1. Open Migration center under Workspace in the left menu.
  2. Choose the Company and the date in Books start on (usually 1 April).
  3. Fill Vouchers up to if you bring over a day book, and click Start a migration.
  4. Click Add a file and upload the masters file, then the Day Book file.

Check, commit and sign off

  1. Open Check and fix. Click Accept all suggested groups or choose a Schedule III group for each ledger that needs a look.
  2. Open Dry run and commit and read What the commit will do.
  3. Tick I have read the dry run. Post it to the books. and click Commit.
  4. Open Reconciliation and click Reconcile now. Compare the source totals with the K-Finance totals.
  5. Click Sign off when the totals agree, or write why the differences are acceptable.

Or connect Tally directly (owner or admin)

  1. Open https://finance.khanals.in/api/v1/tally/connect while signed in to K-Finance.
  2. Choose the K-Finance company and click Create connector token. Copy the token; it is shown once.
  3. Download KhanalTallyConnector.ps1 and follow the steps on the page to run it with -Setup, then -Run, then -InstallSchedule (every 30 minutes).
  4. Check, map and commit what it sends in the Migration center, as above.

Good to know

  • Sales, purchase, receipt, payment, journal, contra and credit / debit notes come over. Orders, delivery notes and memorandum vouchers do not.
  • Adding the same file again changes nothing; rows are matched by their identity in Tally.
  • The connector only reads from Tally. It never writes to Tally and never asks for Tally passwords.
  • Made a mistake? Click Revert this migration. The vouchers are reversed and you can commit again. Zoho Books and other software (Busy, Vyapar, Marg, Excel) use the same Migration center.

Common errors

"Your plan includes a trial-balance preview only. Importing from Tally XML, Zoho Books or the templates is part of every paid plan."

The Free plan only previews a trial balance. Move to a paid plan to import masters and vouchers. See Plans and limits.

"The file is larger than 40 MB."

Export the Day Book in shorter periods, for example one quarter at a time, and add each file to the same migration.

"The rows changed after the last check. Run the check again and read the dry run before committing."

A file or fix was added after the last check. Click Check again, read the dry run, then commit.

"Committing a migration posts to the books — it needs permission to post vouchers."

Ask an owner, admin or finance manager to commit it.

"Months that hold vouchers of this migration are closed. Re-open them first …"

An owner or admin must re-open those months before the migration can be reverted.
