K-Survey

Do a site survey with GPS check-in, measurements and photos

A surveyor does the whole visit on the phone: check in, fill the survey, check out and submit. It keeps working without signal once the survey is open.

What you need

  • A survey requested on the site and assigned to you
  • The Survey manager role to schedule and assign, or the Surveyor role to do the visit
  • A phone with a camera, with location allowed for the browser
  • Signal once before you leave, to open the survey

Schedule and assign (manager)

  1. Click Surveys and open the survey.
  2. Click Schedule / assign.
  3. Choose the Surveyor, the Date and the Time, and check the address and map pin.
  4. Click Save. The surveyor gets an e-mail, and a reminder the day before.
  5. Surveyors see their visits under Day plan, with directions and phone links.

Check in on site

  1. Open the survey on your phone before you leave.
  2. On site, tap Check in here (GPS).
  3. Allow location when the phone asks.

Fill the survey

  1. Under Site checklist, answer each question, add a remark where needed and tap Save checklist.
  2. Under Measurement sheet, type the area, description or library item, Nos, Length, Breadth and Height / depth, and choose the unit. Tick Deduction for openings. Tap Add row.
  3. Under Photos, sketches and drawings, choose the Photo slot, take the photo, add a caption and tap Add photos.
  4. Under Observations, choose the kind (for example a risk with its severity), write it and tap Add.

Check out and submit

  1. Tap Check out (GPS) when you leave.
  2. Read Next step. If it lists Before you can submit, fill those items.
  3. Tap Submit the survey and confirm. After this nothing changes in place.
  4. A survey manager then opens it and clicks Mark reviewed (lock).

Good to know

  • No signal? What you save is kept on the phone and sent by itself when the network is back.
  • The position is what the phone reports. It deters and flags, but it is not proof of where someone was.
  • Photos: JPG, PNG or WebP, at most 10 MB each and 20 at a time. A survey holds at most 300 photos and files. Location data inside photo files is removed when stored.
  • To correct a submitted survey, a manager uses Make an amendment (new version). Every version stays readable.

Common errors

"Fill in first: …"

Required questions or photo slots are empty. Fill the ones named in the message, then submit again.

"You are already checked in on this survey. Check out first."

You have an open visit. Tap Check out (GPS), then check in again if needed.

"This was saved offline more than 7 days ago, so it is not taken in. Enter it again on the survey."

Items saved offline must reach the server within 7 days. Enter the item again on the survey.

"The phone's clock is ahead of the real time, so this item saved offline cannot be used."

Set the phone's date and time to automatic, then enter the item again.

"A risk needs its severity (low, medium or high)."

Choose the Severity (risks) before you add a risk.

No location (not allowed or not available)

The visit is saved without a position. Allow location for the browser in the phone's settings and check in again next time.
