K-CRM

Make, send and revise a GST quotation

A quotation is made from a deal's lines. K-CRM works out CGST + SGST for your own state and IGST for other states. The customer opens a link and accepts or declines.

What you need

  • Your GST state set in user menu → Settings
  • A deal with at least one product line
  • The Sales executive, Sales manager or Organisation admin role
  • A contact with an e-mail if you want K-CRM to e-mail the link

Make the quotation

  1. Open the deal.
  2. Click New quotation from the lines.
  3. Check the lines and discounts. Add more with Add line.
  4. Click Edit details to check the contact, the To (name and address), the customer GSTIN, the Place of supply and the terms.
  5. Save the details. GST is worked out again for the place of supply.

Send it

  1. Tick Email the link to the contact if you want K-CRM to send it.
  2. Click Send (make the customer link).
  3. Copy the customer link shown, for example to send on WhatsApp.
  4. Click Print / PDF for a clean page with the amount in words.

When the customer answers

  1. The customer opens the link, types their name and clicks Accept the quotation or Decline.
  2. Read the e-mail K-CRM sends you, and see the status on Sell → Quotations.
  3. Need a change after sending? Click Make a new version. The old version and its link stop working.

Good to know

  • The link works until the "valid until" date.
  • Only a draft can be changed. A sent quotation is changed by making a new version.
  • K-CRM records the customer's name, the time and the IP address with their answer.

Common errors

"Set your organisation's GST state in Settings first: it decides CGST + SGST or IGST."

Open the user menu → Settings, choose the GST state, save, then make the quotation again.

"Add at least one line first."

Add a product or a described line with a quantity, rate and GST rate, then send.

"The 'valid until' date has passed. Make a new version with a new date."

Click Make a new version, set a new valid-until date and send again.

The customer sees "This quotation link has expired" or "This quotation was replaced by a newer version."

Send them the link of the newest version, or make a new version with a later date.

"The deal is lost. Reopen it first."

Click Reopen the deal on the deal's page, then make the quotation.
